Job Description
Summary
Scott Department of Urology is seeking a Senior Coordinator, Business Operations to provide advanced administrative support to the department, education program and faculty by, managing travel, scheduling meetings, maintaining calendars, and composing correspondence. This position will also provide support to the department by coordinating financial processes and liaising with central departments.
This position is located in the Texas Medical Center at our McNair Campus.
Job Duties
- Processes and maintains credentialing for faculty at BCM and other healthcare institutions.
- Coordinates and schedules departmental and faculty meetings.
- Prepares memos, meeting agendas, general correspondence, graphs, and power point presentations.
- Manages outlook calendar for faculty.
- May coordinate department meetings, events, retreats and other events.
- Prepares and routes contracts/agreements.
- Manages faculty reappointments and renewals.
- May assist with Chairman meetings and events, to include onboarding faculty.
- May assist with tracking documentation of training and educational activities.
- Manages travel arrangements and reimbursements for faculty, including flights hotels and car service.
- Submits expenses for reimbursement.
- Updates faculty CV.
- Works with the administrative team to develop faculty call schedules, coverage, and pay reimbursements.
- Utilizes EPIC system for clinical, clerical and professional incidences.
- Assists with business and financial processes for the department (compiling, reviewing, reconciling financial accounts).
- Works directly with the clinical team for rescheduling patient appointments as needed.
- Performs event planning, preparation of luncheons for business functions.
- Assists with maintaining department fax server.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Proficiency in Microsoft Office Suite.
- EPIC and Q-Genda.
