Summary
Baylor College of Medicine's Department of Medicine - Cardiology Section is seeking a Senior Coordinator, Patient Support Services to assist with maintaining smooth clinical operations and high-quality patient care.
Job Duties
- Coordinates and schedules complex patient appointments including office visits, diagnostic testing, procedures, and surgeries across multiple providers and locations.
- Ensures scheduling aligns with physician availability and clinical protocols.
- Processes incoming and outgoing referrals accurately and efficiently.
- Communicates with referring providers and ensures timely authorization and documentation.
- Provides high-level administrative assistance to cardiologists and electrophysiologists, including calendar management, message triage, and document preparation, and coordination of academic activities.
- Maintains up-to-date records and manages patient documentation in EMR systems.
- Acts as a liaison between patients, physicians, and clinical teams to coordinate care plans.
- Ensures patients understand instructions, pre-visit requirements, and follow-up steps.
- Responds to patient inquiries via phone, MyChart, and in-person with professionalism and empathy.
- Monitors and responds to help line emails, ensuring timely and accurate support for patient needs.
- Resolves issues or escalate appropriately to ensure patient satisfaction.
- Works with insurance companies to obtain prior authorizations for tests and procedures.
- Verifies coverage and communicates any out-of-pocket costs to patients.
- Accurately enters and updates patient information in electronic health records.
- Scans, files, and manages documents according to departmental standards.
- Identifies opportunities for process improvement and supports implementation of best practices.
- Trains and mentors junior staff as needed.
- Collaborates with nurses, medical assistants, technicians, and other departments to support comprehensive patient care.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
