Responsible for coordinating the computer systems for the Nursing Staffing Office. Serves as coordinator support performing data collection, developing audit tools, spreadsheets, graphs, report preparation within tight timelines. Provides backup to the Staffing Office as needed.

As a successful candidate, you will:

  • Coordinates and Collaborates projects.
  • Able to delegate assignments to Staffing Specialist.
  • Prioritizes work and provides prompt and efficient service.
  • Maintains a high level of quality.
  • Process purchase orders, complete registry invoicing/billing and check requisitions to facilitate payment of independent contractors.
  • Creates and maintains spreadsheet for tracking registry use and expenditures.
  • Inventories and orders office supplies and assists in the care and maintenance of department equipment.
  • Coordinates annual verification of licensure and certifications in compliance with regulatory requirements.
  • Monitors registry contract expirations, documentation of competencies, staff compliance and procurement of temporary staff.
  • Maintains all registry documentation to ensure that COH is in compliance with accreditation and regulatory body requirements.
  • Prepares and updates recurring and routine internal reports. Collects and verifies data.
  • Designs and maintains various unit specific forms, matrices, spreadsheets, reports and graphs.
  • Serves as resource for unit managers and directors in accessing, deciphering Optilink or spreadsheet data.
  • May provide meeting or clerical support for unit specific projects.
  • Participates in departmental and hospital performance improvement activities.
  • Maintains current knowledge, skills and competencies through involvement in professional continuing education activities.
  • Provides support for Nurse Management related to meeting and preparation of analytical reports including graphic presentation of information.
  • Research issues of a confidential nature. Demonstrates high integrity in handling sensitive matters.
  • Manages and updates date dependent acuity database for staffing office data input and tracking documentation of staffing level accountabilities.
  • Participates in staff in-service and education of newly implemented processes, spreadsheets and computer systems.
  • Supports fiscal responsibility efforts in division of Patient Care Services by gathering cost data for registry, sitter, productive versus non-productive time and calculation of actual verses budgeted productivity figures.
  • Prepares and distributes management reports as requested.
  • Communicates effectively with all customers and colleagues to meet organizational goals.
  • Fosters the development of teamwork within the department while meeting the needs of the department being served.
  • Provides relief as Staffing Specialist as needed.
  • Participates in developmental and educational activities to acquire skills used to achieve team and organizational goals.
  • Handles telephone calls; exercises judgment as to the urgency or other nature of the calls; directs calls to appropriate personnel.
  • Serves as department Safety Representative and maintains an accurate schematic for departmental employee disaster response lists.
  • Maintains a clean and orderly work environment
  • Utilizes proper judgment and collaborate with colleagues to provide sound decision-making.

Your qualifications should include:

Minimum Education

  • Bachelors of Science degree
  • Experience will substitute for minimum educational requirement

Minimum Experience

  • 3-5 years of experience within a medical environment

Preferred Education

  • Masters degree

Salary / Pay Rate Information:
Pay Rate: $25.46 - $36.78 / hour
