We have an exciting opportunity to join our Office of the Chief Counsel. The Aligned Assurance Coordinator is responsible for coordinating certain designated programmatic and departmental activities of the Corporate Enterprise Risk Management (ERM) Department and the Internal Audit (IA) Department that have system-wide impact. Key job responsibilities include execution of program and department operational activities such as serving as focal administrative support to the Executive Director, ERM and the Executive Director, IA for program and department strategic initiatives, reports, tracking, risk analyses, audits, meetings, conferences, newsletters, emails, research, and trainings. Coordinates the process for maintaining, tracking, and reporting on the status of management action plans from completed audits. Coordinates Program and Departmental operational activities including purchasing, inventory management and logistics, often in collaboration with other organizational stakeholders. Manages ERM and IA Program and related Department issue management systems and gathers data, summarizes, and develops custom reports for Department leaders, senior leadership, general management, and Board of Directors reporting purposes. Assists in preparing various department materials for submission to the quarterly Risk, Audit and Compliance Committee meetings, as well as materials for other management presentations. Performs advanced clerical, administrative, and general office duties. Business contacts include persons at all levels within the organization (including co-sourced auditors and consultants), industry, and community. Supports the on-boarding and disposition of the departments’ outsourced consultants and manages their day-to-day needs. Manages complex calendars, schedules meeting and appointments for senior management. Advanced skillsets in PowerPoint, Excel, Word, Internet, Email, Outlook, Virtual Meetings, Adobe, and related software and applications. Works independently with minimal supervision on assigned tasks, requiring no ongoing instructions on routine work and limited instructions on new assignments. Maintains confidentiality and sets a positive example of morale, ethics, attitude, and motivation.

As a successful candidate, you will:

Support the ERM Team:

  • Serves as focal administrative support to the Executive Director, ERM for program and department strategic initiatives, reports, tracking, risk analyses, audits, meetings, conferences, newsletters, emails, research and trainings.
  • Coordinates ERM Program and Departmental operational activities. Manages ERM Program and related GRC (Governance, Risk and Compliance) tools, issue management systems and data collection activities.
  • Serves as the primary coordinator for any on-boarding and exit of department personnel and consultants. Manages and addresses their day-to-day operational needs.
  • Supports the ERM department on limited ERM reviews. Assists in development of work products, coordinates review materials consolidation and manages scheduling in support of ERM activities.

Support the IA Team:

  • Serves as focal administrative support to the Executive Director, IA for program and department strategic initiatives, reports, tracking, analyses, audits, meetings, conferences, newsletters, emails, research and trainings.
  • Supports the Internal Audit Program Specialist in managing and addressing the day-to-day operational needs of department personnel and consultants, including onboarding activities, management action plans follow up, and workpaper management.
  • Assists in the process for preparation of materials for the Internal Audit update package for the quarterly Audit and Compliance Committee meetings.

Support both IA and ERM teams:

  • Coordinates and schedules appointments and/or meetings, including: internal and external key Internal Audit meetings (e.g., recurring department meetings, audit planning meetings, Entrance Conferences, Exit Conferences); annual Enterprise Risk Assessment interviews with organizational leaders and key stakeholders; ERM interviews; and numerous other related meetings and presentations.
  • Manages the selection, inventory, and purchasing of necessary department and office facility supplies, within budget.
  • Formats, types & edits a variety of complex or technical material, including correspondence, memos, reports, presentations and confidential material.
  • Coordinates the intake, processing, payment, and tracking of all ERM and IA department contracts and related vendor expenses. Manages vendor expenses to department budgets.

Your qualifications should include:

  • Bachelor’s Degree; experience in a related field may substitute for minimum educational requirements.
  • 2+ years experience in an administrative support capacity.

Salary / Pay Rate Information:
Pay Rate: $29.49 - $45.71 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
