Job Description

Summary

The Appointment and Scheduling Coordinator will be responsible for scheduling appointments for medical providers in all 3 HHH clinic sites while providing excellent customer service to patients and clients and entering client data into an electronic health record and homeless management information system.

This position will also serve as back up for the Front Office Specialist and will assist in patient appointment check-in as needed.

Job Duties

  • Schedules patient appointments.
  • Provides front desk assistance when needed (greets patients, manages check-ins, and handles any immediate patient concerns).
  • Answers incoming calls (provides information, directs calls to the appropriate departments).
  • Provides front office coverage (in cases where front office staff are unavailable, the scheduler will provide coverage to ensure continuous service).
  • Assists with scanning documents into our system.
  • Schedules online appointments and manages online appointment requests.
  • Verifies patient insurance information, ensuring that all necessary documentation is complete and accurate prior to appointments.

Minimum Qualifications

  • High school diploma or GED.
  • Three years of relevant experience.

Preferred Qualifications

  • Medical front office experience.
  • Knowledge of Epic and electronic health records.
  • Bilingual (English/Spanish).
  • Strong customer service and organizational skills.
  • Strong interpersonal and social skills with demonstrated ability to interact with a variety of individuals including those with behavioral health needs.
  • Ability to operate small office equipment, including photocopier, telephone, and computer.
  • Basic knowledge of Microsoft Office.
